MEETING MINUTES
MONDAY, OCTOBER 1, 2007, 7:00 PM
Business Meeting
PTO President
Darlene Haecker called the meeting to order.
Minutes from the
September 10, 2007 meeting were returned for revisions.
Treasurer’s
Report (Carolyn Larson):

Personnel:
Front office secretary and receptionist positions still open. Volunteer Coord. Maureen Dolan to give
parent names interested in office work to Louis.
8th
grade science teacher applicant being offered position.
Consultant
Melanie Crawford has been hired through a grant at the district level to work
with both our curriculum and instructors to further implement the Parallel
Curriculum Model currently in use at CH.
Enrollment:
We are 10 students over our predicted enrollment in secondary, and 2
under in elementary. No money should
have to be returned, though October adjustments to the budget are not yet
complete.
Library Use:
Concerns have been expressed over shared usage of library and how it is
funded across the 3 schools using the facility. Currently, CH funds .7 of the librarian. Benjamin Mays & Museum Magnet pay for a
full time aide, and supply many parent volunteers. This is the 3rd year CH has covered cost of the
librarian. CH uses it on Wednesdays and
½ day on Friday. Tuesdays can be
scheduled by individual classes, but will not have use of the librarian.
Site Council
Report (Ali
Turner): Nothing to report. Old Business
Fundraising:
Louis Mariucci has asked PTO to coordinate Sally Foster Gift Wrap
fundraiser in 2008/09 due to changes in state tax law. PTO needs a person who will sift through
myriad fundraiser catalogues/ideas to identify new vendors/possibilities,
and/or someone to head up Sally Foster in coming year.
T-shirts: Inventory is mostly larger sizes—no small
sizes currently available. If we want
to order more, we need parent volunteer to head up effort and to ascertain
whether money exists in budget for this.
First Grade
Dinner (Julie
Taylor): Evening was a success, though
entertainment cost double what was budgeted. Budget was $300, mime was $600.
Ergodynamic
Rakes (Mary Weir): Need ideas for disbursing 14,000 rakes which
are taking up quite a bit of storage space.
Possible fundraiser for after school clubs. Could be sold for any dollar amount as they were donated at no
cost. Need to get word out through
newsletter, perhaps.
Newsletter (Maggie O’Reilly): Going well.
Room Parent (Darlene Haecker): Proposal typed up and discussed with
teachers. Most approved of idea. A list serve needs to be started and teachers
want to choose their own Room Parent.
Joint Rondo
Playground Initiative
(Jan Nixon): First meeting to be this
week with all 3 principals, 2 parents from each school and a staff member from
Benj. Mays. Task will be to review
budget and how district dollars were spent.
Working on future goals and next steps.
PTO Funding
Rubric: Additional testing needs to be done, for
example, the grounds project proposed by David McGill which would tie in to
other curriculum areas. Has support
from other teachers, parent volunteers.
Location is area outside the Green doors.
Directory (Ayesha Shariff): Ayesha not present. Data on hard drive was lost. Maureen Dolan to find data entry volunteer. Large number of parents didn’t turn in
directory information at all. Need to
emphasize labor/time saving aspect of parents using online form, and reduction
of errors. Perhaps a few kiosks at the
Open House in the fall?
Listserv (Darlene Haecker): Need for a committee and a parent volunteer,
as well as hardware to host the listserv.
Aerine’s husband can set up hardware and five ideas on how to set up the
listserv.
Green Door
Procedures (Darlene
Haecker): Safety of children during
drop off/pick up a recurring concern.
Ideas explored included hiring traffic officer at $60/hour, petitioning
city to rezone Mackubin as a one-way, forming committee of parent
patrols. Darlene to pursue.
Third Grade
Welcome Dinner: Need to examine start time, menu and
entertainment in light of how expensive these dinners have become.
Parent
Information Night: Chaotic due to storm. Childcare criticized by some for lack of
sign in as well and by other for requirement to have parent come in to pick up
child. Communication between parents
and kids not always clear regarding pick up time. Darlene suggests skipping childcare in future, examining other
ways of handling this event such as separating the grades, and not
incorporating Scout night in to this event.
